About this policy
This policy explains how Fidem Pty Ltd (ABN 32 636 941 449), trading as Kidz R Kidz Early Learning Centre & Kindergarten, handles personal information when you contact us, visit our website or use our education and care services. It also explains how to ask about your information or raise a privacy concern.
We are committed to respecting families’ privacy and handling information in accordance with applicable Australian privacy, health records and education and care requirements, including the Privacy Act 1988 (Cth) and Australian Privacy Principles where they apply. This notice does not replace specific enrolment notices or permissions.
Information we collect
The information needed depends on your relationship with us. It may include:
- Enquiries and tours: your name, phone number, email, your child’s age and your care preferences.
- Children and families: enrolment details, family and emergency contacts, authorised collection arrangements, attendance, learning records and information needed to administer fees and subsidies.
- Health and care: allergies, medical conditions, immunisation information, medication instructions, incident records and additional support needs relevant to safe care.
- Employment and visitors: applications, qualifications, screening information and records needed to manage employment, placement or visits.
- Website use: technical information such as browser type, device information, IP address and pages visited, collected through website systems and analytics.
We aim to collect only information reasonably needed for our work. Sensitive information is collected with consent where required, or where collection is otherwise permitted or required by law.
How information reaches us
We receive information through website forms, phone calls, email, conversations, enrolment documents and our day-to-day education and care activities. Where appropriate and lawful, information may also come from an authorised family member, a health or support professional, government agencies or a previous service.
You can ask general questions without identifying yourself. For enrolment, care, payments or particular requests, we may need identifying information. If essential information is not provided, we may be unable to arrange care or complete the requested service.
How we use and share information
Information helps us respond to enquiries, arrange tours, support children’s learning and wellbeing, communicate with families, manage accounts and staffing, and meet recordkeeping, child protection and regulatory responsibilities.
Where necessary and lawful, we may share relevant information with authorised contacts, health and emergency services, education or support professionals, government and regulatory bodies, and providers that support our administration, payments, communications, IT and record storage. We limit sharing to what is appropriate for the purpose. Disclosure may also occur with consent or as required or permitted by law. We do not sell or rent personal information.
Children’s images and learning records
Photographs, videos and learning observations can contain personal information. We seek appropriate parent or guardian permissions for their intended use and respect applicable child safety and privacy requirements. Please speak with the Centre Manager about image permissions or changing a preference. Withdrawing permission affects future uses where practicable; we will explain any limits relating to existing publications or records we must retain.
Website analytics, cookies and external links
Our website uses Google Analytics to help us understand visits and interactions, such as clicks on phone links and successful tour enquiries. Google Tag Manager may be used to manage website tags. These services can use cookies or similar technologies and process device, usage and online identifier information.
You can manage cookies through your browser and review Google’s Privacy Policy and its Analytics opt-out options. Blocking cookies may affect some website functions. External websites and social platforms have their own privacy practices.
Please use enquiry forms for general enquiries. Avoid including detailed medical information, identity documents or other sensitive records unless our team has arranged a suitable way to provide them.
Service providers and overseas handling
We use electronic services to support our website and business administration. Depending on the provider and its arrangements, information may be stored or processed outside Australia, including through Google’s global services. Provider locations can vary; contact us for information about the arrangements relevant to your records. Where overseas disclosure occurs, we take the steps required by applicable privacy law. We do not represent that all information is stored exclusively in Australia.
Keeping information secure and retaining records
We take reasonable steps to protect records against misuse, loss and unauthorised access, alteration or disclosure, including appropriate access restrictions and physical and electronic safeguards. No transmission or storage system can be guaranteed completely secure.
We retain information for the periods required by law and for legitimate care, administrative and recordkeeping purposes. When it is no longer needed and no retention requirement applies, we take reasonable steps to securely destroy or de-identify it. A deletion request may therefore be subject to legal recordkeeping obligations. If a data breach occurs, we will assess and respond to it and make notifications where required.
Access, corrections and communication preferences
Contact the Centre Manager to request access to personal information or to correct information that is inaccurate, incomplete or out of date. We may need to confirm your identity and authority, particularly for children’s records. Access can be subject to legal exceptions and the privacy of others. If we cannot meet a request, we will explain why where required and discuss available options.
You can ask us to stop promotional communications at any time, or use an unsubscribe option where provided. Essential communications about your child’s care, accounts and safety are separate from marketing.
Privacy questions and complaints
Please contact our Centre Manager, marked “Privacy enquiry” or “Privacy complaint”. Tell us what happened and how you would like us to respond. We will consider your concern and aim to respond within 30 days, or let you know if more time is needed.
